Crafting with Google Workspace Studio

Google Workspace Studio! It's the place where you can create, manage, and share AI agents to automate your Workspace, without any programming. It's essentially a puzzle for advanced users. You no longer need external (read: expensive) software to build automations within Google Workspace!

You combine the various Google Workspace applications (Mail, Chat, Drive, Sheets, Slides, Forms, etc.) with each other (and with other software) and build small agents to perform simple tasks for you. Sound complicated? Quite the opposite!

Some examples...

  • Mail < Spaces : Automatically detect emails from important customers, label them as 'Priority', and send a notification to a specific Space.
  • Mail < Docs < Tasks : Create a daily summary of all unread emails about a specific project, including a list of suggested action items, and place it in a Google Doc. Assign tasks directly to the appropriate team members in Google Tasks.
  • Forms < Mail < Sheets : Set up a workflow that automatically checks a newly submitted expense form. If everything is correct, it's forwarded to the manager for approval, and if approved, the status is immediately updated in a new line in your expense tracker.
  • Drive < Docs < Chat : Check a specific Google Drive folder every week and create a concise project status update based on the latest project plans and share it in a Chat with relevant colleagues.
  • Drive < Vids < Slides < Mail : On the last day of each month, select the most recently added portrait photos in your staff folder with an accompanying introductory text and generate a fun video or presentation to introduce newly recruited colleagues to the entire team.
  • Agenda < Docs < Chat: Receive a reminder half an hour before each meeting and take your time to immediately read the briefing, based on the summary of the previous report.

How does it work?

Workspace agents built in Studio offer flexibility and intelligence beyond traditional automation. Agents can think through problems and adapt to new information, enabling them to handle complex workflows such as intelligent prioritization and triage, smart approvals, content generation, and tone analysis.

  • Anyone can do it by himself... Give any user the power to build custom agents in minutes. End users can simply describe what they want to automate in plain language (e.g., "Ping me every Friday to update my tracker"), and Gemini will deliver.
  • But you can also share! Agents can be shared with a team so others can copy them, similar to sharing a Google Doc as we know it. This makes it easy to discover, expand, and implement powerful agents within your organization.
  • Your agent understands context. Agents can now help with tasks like "Create a weekly update for Project Cymbal" or "What do I definitely need to do today?" They're deeply integrated with your personal Workspace apps (like Gmail, Drive, and Sheets). This allows agents to automatically pull relevant context from your documents, emails, and the web, enabling them to provide smarter, personalized answers and take action based on your specific situation. No generic answers and suggestions, but applied, personalized support!
  • Use the starting blocks... Users can create agents using a library of zero-configuration templates for common use cases that can be shared across your organization.
  • And finish with seamless integration with other software . Agents can be linked to your full toolset, including third-party apps, including Asana, Slack, Jira, Mailchimp, and Salesforce.
